Check requirements first: Before applying for an e-Apostille, confirm with the receiving authority that they do accept e-Apostilles. Contact the specific department handling your application, i.e. the embassy consular section, university admissions office, company registry, or employer HR department, and ask whether they accept e-Apostilles. Some authorities may still prefer the traditional paper apostille.

Use secure email when appropriate: If the authority accepts email submission, send your e-Apostille as a PDF attachment. Use a clear subject line that references your application or case number, such as “E-Apostille Submission – Application Reference 12345.” In the email body, briefly explain what documents are attached and why you’re sending them. Keep the original PDF intact, don’t compress it excessively or convert it to other formats, as this can disrupt the digital signatures and verification features.

Upload your e-apostille PDF through these systems following their instructions carefully. Portals often have file size limits (typically 5-10MB per file) and may require specific naming conventions.

Yes. One of the advantages of e-Apostilles is that you can send the same PDF file to multiple recipients. Each authority can independently verify it.  You don’t need separate apostilles for each destination unless they require different underlying documents.
You would need the paper apostille instead.  Some authorities are unfamiliar with e-Apostilles or have policies that haven’t been updated to reflect their availability. Politely explain that e-Apostilles are legally equivalent to paper apostilles under the Hague Convention and can be verified directly with the UK FCDO. If they still refuse, you may need to obtain a traditional paper apostille.
Most authorities don’t routinely notify you when they verify documents, they simply process your application. If there are verification problems, they’ll typically contact you. You can follow up with the authority after a reasonable time to confirm they received and accepted your submission.
