Understanding e-Apostille for Business Documents

Understanding e-Apostille for Business Documents

Business documents are generally well-suited to being legalised with the e-Apostille, particularly those issued by Companies House and HMRC. However, the specific requirements vary depending on document type, when it was issued, and what the receiving authority will accept.

Why Business Documents Work Well With the e-Apostille

UK business authorities like Companies House have adopted comprehensive digital systems and record many company documents electronically within the filing history of a company. This is available in the public domain. This means many business documents can be easily verified, making the process faster and more convenient than traditional paper apostilles.

Digital Systems for UK Business Documents

Companies House provides many company documents digitally on the Companies House public register.  HMRC also issues many documents digitally through Government Gateway accounts, though we will require some additional verification of these as HMRC documents are generally not made available in the public domain. When we can verify digital company documents, we can arrange electronic certification and the e-Apostille with a fast turnaround.

When Certification Is Required

Even if your business document was issued digitally, it will still require electronic solicitor certification before the FCDO will issue the e-Apostille. At present, Companies House and HMRC do not add valid digitial certification to such documents as standard. Our electronic certification service can prepare your business documents for the e-Apostille regardless of their original format.

Frequently Asked Questions

Frequently Asked Questions

No.  Even though Companies House issues digitally signed certificates, they still require solicitor certification before the FCDO will issue an e-apostille. Our electronic certification service handles this quickly and efficiently.
We can usually complete the electronic certification and e-apostille in 1-2 working days for urgent business needs. Because the entire process is often digital, there are no postal delays. Contact us as soon as possible when you have a tight deadline.
Yes. Articles of association can be downloaded from Companies House (if filed) or we can access the model articles of association. We can certify and e-apostille them for use in overseas company registration, joint ventures, or when foreign partners need to verify your company structure.

This is common. HMRC do not currently add a valid electronic certification to documents. Providing we can verify the document, we can add the electronic solicitor certification  and then obtain the e-Apostille from the FCDO.

Sometimes. Foreign banks, credit providers, and business partners may require apostilled financial statements as part of due diligence. Filed accounts from Companies House can be downloaded, certified, and e-apostilled.
Yes. e-Apostilles are valid in any Hague Convention country that accepts electronic apostilles. You can send the same e-Apostilled document to multiple recipients in different countries.
The e-Apostille itself doesn’t expire. However, some receiving authorities require documents to be recent, particularly certificates of good standing, which may need to be issued within 3-6 months. Incorporation certificates and articles of association remain valid indefinitely unless superseded by updated versions.
