checking documents for the e-apostille service

When you request an e-Apostille, your documents must first be verified and certified by a solicitor. If you’re submitting a document as a PDF via email, the solicitor must confirm it is genuine before they can apply a digital signature and the e-Apostille.

Degree Certificates and University Documents

If you need an e-Apostille for a UK degree certificate or university document, you can send us a digital copy by email, but we must confirm its authenticity. There are several ways to do this:

  • Ask your university to email an official confirmation directly to us (not forwarded by you).

  • Use a secure online university portal if available – we can access, download, and verify the documents directly.

  • Alternatively, for an additional fee and with your consent, we can contact the university ourselves to verify the qualification. This procedure may take several days or even weeks.

If you prefer, you can send the original certificate physically. This allows us to inspect security features, such as embossed crests, watermarks, micro-printing, or holographic seals, that universities commonly use to prevent forgery. However, using the original can slow down the e-Apostille process, and in some cases a traditional (paper) apostille might be preferred.

Employment Documents and Letters

For employment documents (contracts, letters confirming employment, references etc.) to be legalised with the e-Apostille, they must be verified with the employer. The easiest way is to have the employer email a confirmation to us (including your order number). If that isn’t possible, we can contact the employer ourselves. However, this incurs an extra fee of £30 per employer and may lengthen the processing time, especially if contact details are missing or the employer is unprepared.

Business Documents

Our e-Apostille service can also process business documents that are listed with Companies House, the official UK registry for companies. These include items such as certificates of incorporation, memorandum and articles of association, annual returns, and other statutory paperwork filed with Companies House. We cross-check the documents against the official registry to confirm authenticity. Once verified, our solicitor adds a digital certification, and the e-Apostille is issued to confirm the document’s legitimacy.

Why We Verify Documents

Documents submitted for e-Apostille are not accepted without checking they are genuine.  To preserve the integrity of the legalisation process, solicitors must validate the origin of every document. That means either obtaining written confirmation from the issuing body (e.g. a university or employer), or accessing the document from a trusted source. Once verified, the solicitor certifies the document with a digital signature and statement before adding the e-Apostille.

FAQs

Verification confirms that your document is genuine and comes from a legitimate source. A solicitor must be confident that the document has been correctly issued before applying an enhanced digital signature and submitting it for the e-Apostille.

Yes, but only if the solicitor can verify the document. This usually requires confirmation from the issuing body, for example a university or employer, or access to the document via a secure portal. Our solicitor will not certify a document unless it has been accurately checked.

Acceptable verification includes confirmation emailed directly by the university, access to a secure university portal, or a check carried out by us with the university. Verifications must come from the institution itself. We do not accept emails that you ‘forward’ to us. Emails and attachments can be changed.

Your employer can email a simple confirmation directly to us using your order number. They need to state the documents is genuine and issued by them. The email must be sent from a recognised business, with details we can check (not gmail accounts or similar). If that is not possible, we can contact the employer with your permission. This may add time and an additional fee.

This depends on the issuing body. Some universities and employers respond the same day. Others may take several days or longer. Business documents from Companies House can normally be verified quickly via the online register.

If we cannot verify the document online, you may need to send your original document or use the paper based apostille process instead.
