If you need to prove you are currently employed or were employed in the UK, you may be asked to legalise your employment document with an apostille.
You can get an e-Apostille on a PDF version of your document or the traditional paper based apostille on a physical copy of your document. Both carry equal weight and legality, but you need to check which version will be accepted by the person/organisation that is requesting your document.
Types of Employment Document we Legalise
There are many employment documents which can be legalised with the e-Apostille.
- Letters Confirming Employment – Written by the Employer
- Contracts of Employments
- NHS Letters Confirming Employment in the NHS
- Letters Confirming Salary
- P60 Tax Documents
Employment Documents Need Verification
Most employment letters are simple printouts or PDF documents. They are often on standard paper and prepared by a person working for the business or organisation. They are not signed by a recognised signatory and contain no security features to ensure the document is genuine.
This is why our solicitor needs to verify the document before they can add the required certification to the document.
How are documents verified?
- You ask the employer to email the document to us confirming it is genuine, or you ask them to email us confirming your employment and the details of your document are correct.
- We email the employer, with a copy of the document, to verify the document is genuine. We will charge a small fee for this service. We cannot phone them as we require written email confirmation for due diligence records.
What Happens After Verification?
After the document has been verified with the issuing employer we can begin the e-Apostille service:
- Our solicitor will add a digital certification
- The PDF is uploaded to the secure FCDO portal
- The FCDO issues the government e-Apostille
- A PDF file is created with the employment document, FCDO e-Apostille and an explanation letter
- We email the PDF
All done in just a couple of days.
e-Apostille or Paper Apostille?
It is important that you check which version of the apostille is suitable for your needs. Not all organisations overseas accept the digital version of the apostille. While the e-Apostille is often a quicker way to legalise documents, some authorities in other countries still want a physical document with the paper based apostille attached.
Can Employment Documents Be Emailed Instead of Posted?
Yes. Most employment documents do not need to be posted. The e-Apostille is a PDF file.
If the document is already in digital format, such as a PDF from an employer or HR department, you can email it to us. We will arrange digital solicitor certification and then submit it for an e-Apostille. If you only have a printed version of the document, this needs to be scanned and saved as a PDF.
This makes the process faster and removes the need to send originals.
Why Digital Solicitor Certification Is Required?
Employment documents do not contain a government issued signature that the FCDO can verify directly. For this reason, they must be digitally certified by a UK solicitor before an e-Apostille can be issued.
The solicitor confirms that the document is a true and accurate copy, and that it has been verified with the employer, which allows the FCDO to apostille it electronically.
When a Paper Apostille Might Be Needed Instead
A paper apostille may be required if:
The receiving authority insists on a physical stamp
The document must be presented in original physical form
The destination country does not yet accept digital apostilles
- The document is being attested with an embassy that only accepts the paper apostille certificate
It is essential you check if an e-Apostille is suitable.
Embassy Attestation
If you are submitting your employment document to an embassy, do not request an e-Apostille. No embassies in the UK are currently accepting e-Apostilles for for further attestation.
Summary
An e-Apostille for a UK employment document is a fast and secure way to legalise proof of employment, reference letters, contracts, and other work related documents for use overseas. In most cases, documents can be submitted by email, digitally certified by a UK solicitor, and issued with an official FCDO e-Apostille without the need to post originals.
If you are unsure whether your employment document qualifies or whether an e-Apostille is accepted in your destination country, we can review your document and advise on the best route before you proceed. Our aim is to make the process simple, compliant, and as quick as possible.
